Transcript Requests
The official transcript is the complete record of all academic work attempted at Virginia Tech, regardless of degree status or program level. The university does not produce official transcripts with individual courses, terms, or program levels.
Virginia Tech has partnered with the National Student Clearinghouse to provide 24/7 online transcript ordering services. Official transcripts may be ordered for electronic delivery, first class mail, or for pick up at the Office of the University Registrar.
Cost: $15.00 per transcript (includes applicable processing fees)
Payment can be made only with a credit/debit card. If you do not have a credit/debit card you will need to purchase a pre-paid payment card to complete your transaction.
Transcripts will not be furnished to any student who has a financial hold on their account. The 1988 Virginia Debt Collection Act, Section 2.1-735, prohibits release of transcripts to any individual who owes a past due debt to a state agency.
Electronic viewing of transcripts
There is no software installation for anyone ordering an electronic transcript. A copy of the free Adobe Reader 9 or higher must be installed on the recipient's computer. The recipient has two options to retain the transcript:
- Save electronically as a PDF document
- Print to paper
Expedited Domestic Mail (Destination within the United States)
You may choose to expedite your transcript mailing by purchasing a priority mail express label or a priority mail label through the United States Postal Service and providing it to our office for mailing. If you do not expedite your mailing, your transcript will mail 1st class mail with no tracking. Please follow these instructions for expediting your mailing: · Email transcript@vt.edu with your Transcript Order number at the time you complete your transcript request to let us know you will be expediting your transcript mailing. We will place a memo to hold for your USPS label. This must be done the same day of the transcript request.
- Visit the USPS website at https://www.usps.com/ship/online-shipping.htm . Select “Click-N-Ship for Shipping with Tracking” from the USPS website. Request the FLAT RATE mailing label download as a “PDF” and email it to transcript@vt.edu with your Transcript Order number included in the email. Your label must be received by 11am the following day or your transcript will be mailed regular first class mail.
- Verify that the mailing address on your label is correct and matches your transcript mailing address.

Expedited International Mail (Destination Outside of the United States)
You may choose to expedite your international transcript mailing by arranging a shipment through the courier service DHL. They will pick up your transcript(s) shipment in our office. If you do not expedite your mailing through DHL, your transcript(s) will be mailed 1st Class USPS Air mail with no tracking. Please follow these instructions for purchasing DHL shipping services.
- Email transcript@vt.edu with your Transcript Order number at the time you complete your transcript request (same day) to let us know you will be expediting your international transcript mailing through DHL. We will place a memo to hold for your DHL shipping label and waybill. You must provide BOTH the shipping label and the Waybill from DHL – include your Transcript Order number in your email.
- Visit the DHL website at http://www.dhl.com/en.html to arrange for a DHL pick up in our office for the following day or later.
- Verify that the mailing address on your label is correct and matches your transcript mailing address
- The return address on your DHL shipping label should be:

If you need additional information certified/verified or the completion of another agency's form to accompany your official transcript, please complete the form found here and attach it to your transcript order, along with any additional forms. Please be aware that information presented on your official transcript does not require an addendum certifying this information and such requests may not be completed. (i.e. we do not provide certifications of degree completion to accompany official transcripts)
Notarized Transcript Request:
Physical Virginia Tech transcripts can be notarized by the university at no additional cost. Note that an electronic transcript cannot be notarized. Follow the below steps for a seamless ordering and notarization process. A transcript already in the possession of the student cannot be notarized.
- Complete the notarization request form found here. (pdf)
- Order one mailed transcript through the National Student Clearinghouse. Attach your notarization request form to your transcript order. Official transcript and notarized copy will be mailed to the address identified on your transcript order.
Apostille: Notarization is the first step to acquire an Apostille from the Office of the Secretary of the Commonwealth of Virginia. Virginia Tech can only assist with the notarization step. The responsibility of submitting the Apostille request to the Secretary of the Commonwealth lies with the student or authorized third party facilitator.
You have the option to designate a third party to pickup your official transcript order if ordering a paper copy. Please complete the "Authorization to Pick Up Official Documents" form found here.
Your unofficial transcript may be obtained in HokieSpa. The unofficial transcript will show you as a Continuing Student and will not show your Degree Conferral.
To save the unofficial transcript as a PDF:
- Go to Hokie SPA, Hokie SPA tab, Transcripts and Certifications Menu, View Unofficial Transcripts, Submit
- Press Ctrl+P. The Print Dialog box will appear.
- In the printer name drop down, select Adobe PDF (or whatever PDF viewer is on your computer). Click OK.
- The Unofficial Transcript will be saved as a PDF document to your default save location (For example: your desktop or “My Documents” folder)
